GL Chart of Accounts Conversion Suite
GL Chart of Accounts Conversion Suite is a powerful suite of software designed to overcome the difficulty involved in changing your General Ledger Chart Of Accounts and/or Entity structure in your QAD Enterprise Applications ( MFG/PRO ) system. Before this tool was developed, the only way of performing this type of conversion was a very costly and risky custom programming project.
Overview
The GL Chart of Accounts Conversion Suite allows you to match old data values to your new General Ledger account numbering scheme. The process validates new and old values against corresponding QAD Enterprise Applications ( MFG/PRO ) values. The conversion will completely replace your old chart of accounts throughout the database! It can be run multiple times on a subset of accounts, sub-accounts, cost centers or the entire structure.

GL Chart of Accounts Conversion Suite Features
Non-Intrusive Simple Installation:
GL Chart of Accounts Conversion Suite is a non-intrusive solution for QAD Enterprise Applications ( MFG/PRO ). It is also easily installed to get you up and running in no time.
Cross-reference information is stored in an existing QAD user work area keeping your QAD Enterprise Applications ( MFG/PRO ) database standard and allowing you to run the conversion incrementally and/or multiple times.
Record and Store the General Ledger Mapping Data:
Add, modify and delete conversion mapping information between old and new account, sub-account and cost center combinations using the provided maintenance routine with wildcarding available or simply export to Excel, maintain the values then import them back into MFG/PRO. Both old and new account, sub-account and cost center values are validated against MFG/PRO master data. Using the Export will also allow you to gauge the total time required for the conversion without updating the database.
Acct/Sub/CC Validation Report:
This report provides you with a tool to verify all of the account, sub-account and cost center mapping information before running the conversion update. It validates that all of the old and new values exist in the MFG/PRO master data and that the currencies assigned to the old and new account values match.
Pre-Conversion Mapping Report:
This report displays all of the old account, sub-account and cost center combinations used in your database with the value that they will be converted to and the wildcard or specifically defined value used to determine the new value.
Record and Store Entity Mapping Data:
Add, Modify and Delete conversion mapping information between old and new Entities. Both old and new entity values as well as their currencies are validated against QAD Enterprise Applications ( MFG/PRO ) entity codes.
Entity Mapping Report:
This report provides you with a tool to verify all the entity mapping information before running the conversion update. It validates the existence of the new entity codes in MFG/PRO and verifies that the currencies of the entities match.
Conversion Utility:
The conversion utility can be run as a single session or in multiple sessions breaking up the tables into several groups that you can define, if desired, to achieve the fastest conversion possible based on your existing data. The conversion runs a final validation on the new values to be used before starting the update process.
Conversion Output:
As the conversion runs, the on screen monitor lets you know as each group of tables is completed. The conversion creates a print file showing the start and end times for each group along with the tables it converted. It also creates an activity log which displays conversion details and the conversion data used as well as any old values that may have been missed during a full conversion.
A Word About QAD Enterprise Applications ( MFG/PRO ) eB
In the eB release of QAD Enterprise Applications ( MFG/PRO ), one of the enhancements to financials was to extend the account structure so that sub-accounts now have their own 8 character field. During the upgrade process, QAD® provides a status quo conversion program. Unfortunately they do not provide any tools to convert your existing chart of accounts structure to take advantage of this powerful new enhancement.
How is an existing QAD Enterprise Applications ( MFG/PRO ) user supposed to capitalize on this new enhancement?

- Checks for the existence of the new account, sub-account and cost center in the standard QAD Enterprise Applications ( MFG/PRO ) chart of accounts
- Checks for account, sub-account and cost center values in QAD Enterprise Applications ( MFG/PRO ) which have no corresponding new value.
- Locates any anomalies so that you can correct them prior to starting the conversion.
